Horizon37 are looking for a Programme Administrator to join our small and diverse team of coaches and business people.

We are currently a Founder-led team of 15, including coaches (who deliver our programmes) and team members in our supporting functions.

Job mission

To ensure that our customers have an efficient and enjoyable experience as participants on our programmes (primarily on the Discover, Align, Transform Programmes), and that our coaches are effective and well-organised in their delivery to our customers.

  1. Liaising with both the Horizon37 and the customer’s Programme Managers to agree on the programme timeline and keeping relevant stakeholders informed of any changes and progress
  2. Acting as a point of contact and liaising with the business leaders we work with or their assistants in order to arrange programme delivery meetings, workshops and coaching sessions, as required for the delivery of our programmes (by email or phone)
  3. Organising venues, travel and other resources and logistics necessary for programme delivery
  4. Tracking completed programme phases to instruct invoicing for the Finance team
  5. Keeping all Horizon37 team member calendars up to date in line with their delivery responsibilities on programmes, especially workshops (liaising with the Horizon37 Programme Managers and our People Team leader)
  6. Maintaining programme delivery folders in Google Drive organised
  7. Creating and updating project workflows
  8. Other general administrative duties related to making our programmes amazing

Candidate attributes

  1. Ability to establish and maintain good working relationships with customers and team members, through clear communication skills (both written and verbal)
  2. Excellent organisational and administrative skills
  3. Good time management skills, with an ability to work effectively to tight timescales
  4. Attention to detail
  5. An understanding of the sensitive nature of coaching work and the need to maintain confidentiality at all times; trustworthy and professional
  6. Fun to work with, positive and approachable – collaborating with customers and team mates in different functions
  7. Excellent IT skills (with good knowledge of Google Drive & Calendar)
  8. Proactive and self-driven
  9. Willingness to learn and develop within an innovative, entrepreneurial environment
  10. Interest in the innovation/tech industry

Practicalities

  • Ideal start early September 2022
  • Full-time, 4 days per week (as a company we don’t work on Fridays!)
  • £17.5k per annum for the 4-day working week
  • Work remotely, possibly with some infrequent travel required
  • Six month probationary period
